Insurance training deadline: what to do before your policy renews

When an underwriter names a training requirement, the clock is your policy date. Read the requirement, ask your broker whether in-aircraft training qualifies, then send us the aircraft, the airport and the date. We send the syllabus and instructor credentials your broker needs.

Procedure

  1. Read the exact words. Find the pilot warranty or training clause in your policy or quote. Note whether it says initial or recurrent, how many hours, whether it says simulator, and by what date.
  2. Call your broker before you book anyone. Ask whether in-aircraft training by Access qualifies, for you and this aircraft, and what documents the underwriter wants to see.
  3. Send us the facts. Aircraft, home airport and the date. A request takes a minute, or call (855) 747-1200.
  4. We send the packet. Aircraft-specific syllabus and CFII credentials, to you or straight to your broker.
  5. Get the answer in writing. Ask your broker to confirm by email that the course satisfies the requirement.
  6. Add us to the policy. Your broker adds Access and your instructor to the aircraft's policy for the training period, and sends us a certificate of insurance (COI) showing Access Flight Training Services LLC as an additional insured, with a waiver of subrogation.
  7. Schedule, and keep the certificate. Your course completion certificate comes by email, or by mail if you ask, and can go straight to your broker.

What to send your broker

Copy this, fill the brackets and send it.

We are considering [initial / recurrent] training for [pilot name] in our [aircraft and N-number] with Access Flight Training Services LLC. The course is delivered in our aircraft at [airport] by an FAA-certificated CFII under 14 CFR Part 61. Please confirm whether this satisfies the training requirement in our policy, and what documents the underwriter needs to see. Access can send the aircraft-specific syllabus and instructor credentials. If the course goes ahead, please add the instructor to the policy for the training period, name Access Flight Training Services LLC as an additional insured with a waiver of subrogation, and send the certificate of insurance to paul@accessfts.com or fax (440) 306-0152. Frequently asked questions

My policy renews soon and requires training. What do I do first?

Read the exact words of the requirement, then call your broker and ask whether in-aircraft training qualifies for you and this aircraft. After that, send us the aircraft, airport and date, and we can send your broker the syllabus and instructor credentials.

What is an open pilot warranty?

It is the policy language that sets who may fly the aircraft and what experience and training they need. The wording varies by policy, so read yours and ask your broker what it requires for your aircraft.

Can I fly my airplane before the training is done?

Ask your broker, and get the answer in writing. It depends on the wording of your policy or the terms of your quote. We cannot answer that for you.

Can you get a course done before my renewal date?

Often, depending on instructor availability, your airport and the weather. Call us with the date. A 2 or 3 day recurrent needs less scheduling than a 3 to 5 day initial.
